Refund and Cancellation Policy
This page explains how cancellation or refund questions are routed for coffee billing review. Early notice gives the desk the best chance to stop an unstarted visit. Once a barista is preparing the order or a tray is complete, fees are reviewed against the booking confirmation and any account terms already agreed.
Billing questions depend on the request route, account type, and whether a visit has already been started.
Policy overview
Clover Roast is a cozy Irish coffee shop serving freshly brewed coffee and delicious treats every day. This Refund and Cancellation Policy explains how cafe guests and catering customers can request changes after an enquiry or booking discussion. It covers cancellations before the barista begins the order, abort situations after work has started, completed trays, and catering account billing disputes. Early notice gives us the best chance to avoid unnecessary barista reservation. Completed brewing work is generally not refundable because labour, beans, milk, pastry stock, and reserved table time cannot be unused after the visit. Rights that cannot be excluded under the Consumer Protection Act 2007 remain available where they apply. Public quotes on this site are in euro unless the confirmation states otherwise.
When a booking is considered active
An enquiry or pricing question alone does not create a chargeable coffee job. A booking becomes active after the desk confirms the package, price basis, allergen readiness, and any special brewing notes, and you accept that confirmation by reply or other clear agreement. Once a booking is active, barista time and pastry stock may be reserved. If you are only comparing packages, tell the desk that the request should remain informational. A deposit requested before a large catering tray becomes part of the active booking once received. Changing the drink type after acceptance can change the price. A confirmed slot is a real reservation, not an open option to walk away after milk has already been steamed.
Cancellation before visit
If you cancel before the barista has begun the order and before meaningful preparation has been completed, we will usually cancel without a visit fee. Contact us immediately at +353 1 408 4800 or [email protected] with the visit reference, customer name, and order category. The earlier you notify us, the more likely we can release the barista without charge. If substantial preparation has already been completed, a reasonable administration or abort fee may apply even if the cups were never poured. Customers who miss the arrival window without notice may also be treated under abort rules if the slot cannot be reassigned. Moving a booking to another date is often better than cancelling outright. A message sent after 16:00 on the day of a late catering collection is late for a free release in most cases. If severe weather, civic disruption, or a kitchen closure stops service before anyone begins the tray, we will usually move the booking or cancel without a visit fee.
Cancellation after start and completed orders
If brewing has already begun, or the barista is at the bar and drinks or pastries have started, the job may be treated as an abort or partial service. Charges can include a portion of the quoted fee or labour and ingredients already used. If you stop the service early for personal reasons, fees for completed stages generally remain payable. Fees for completed orders are generally not refundable. If you believe a service failure occurred, such as the wrong package being applied due to our error, contact the desk promptly with notes, times, and the visit reference. We may offer a partial refund, corrective pour, or account credit. Disliking a correctly made recipe after tasting is not a service failure. A material name or allergen error we made will be corrected.
Catering accounts and how refunds are processed
Catering customers with weekly volume or account billing may have separate commercial terms discussed at onboarding. Where those terms exist, they govern cancellation windows, minimum spends, and credit notes. If no separate written schedule applies, this policy guides the review. Approved credits are typically applied to future coffee rather than paid as cash unless otherwise agreed. Approved refunds are returned through the original payment method when possible, or as an account credit. Processing times depend on the payment provider. We may request identity or authority confirmation before releasing funds. Chargebacks should be a last resort after you have written to the desk. We do not refund a guest who received the drinks they booked and then wanted extra pastries for the same price. We do refund or credit when we billed the wrong package or never delivered a confirmed element. Do not send full card numbers in email.
Contact for billing review
For cancellation or refund questions, email [email protected], call +353 1 408 4800, or write to St. James's Gate, Dublin 8, D08 VF8H, Ireland. Include the request date, account name if applicable, visit reference, order category, preferred package if known, and the outcome you are seeking. The cafe desk reviews billing questions Monday to Sunday, 7:00 to 19:00 Irish Standard Time. If you are a consumer under Irish law and you are not satisfied after our review, you may use the complaint paths that the Consumer Protection Act 2007 preserves. A calm message with the reference, the arrival time, and what you expected from the package is the fastest way to start.
